DATA PROTECTION AND COOKIES POLICY STATEMENT FOR

THE AFRICAN ENERGY SUMMIT JANUARY 2025 IN DAR-ES-SALAM, TANZANIA

  1. Introduction

This Statement explains how your personal data will be collected, used, protected, and disposed of during the Energy Summit through the website  https://mission300africa.org/energysummit/  (the « Website ») (the “Statement”).

These processing operations are carried out in accordance with the applicable law.

The African Development Bank Group (AfDB), World Bank and the Government of Tanzania (the “Host Country”) are the “data controllers” committed to protecting the personal data of individuals who register to participate in the African Energy Summit which will be held in Dar-Es-Salam, Tanzania from 27th to 28th January 2025. (The “Energy Summit”).

  1. What personal data do we collect?

We may collect the following personal data from you:

  1. Contact information (name, email address, phone number),
  2. Organizational affiliation and job title,
  3. Passport information and travel details,
  4. Dietary restrictions and accessibility needs,
  5. Attendance records and session participation,
  6. Feedback and survey responses, and
  7. Visa information, if applicable.

 

  1. How do we use your personal data?

We may use your personal data for the following purposes:

  1. Registering you to attend the Summit,
  2. Issuing and distributing badges,
  3. Facilitating your participation in sessions and events,
  4. Providing you with information and updates about the summit, and
  5. Complying with legal and regulatory requirements, including visa verification and border control formalities.

 

  1. What is the legal basis for processing your personal data?

Our legal basis for processing your personal data is based on our legitimate interest to satisfy your request for participating to the Energy Summit which specific purpose is outlined in the Aide- Memoire signed between the Host Country and AfDB.

  1. How long do we keep your personal data?

We will securely destroy all personal data collected within 12 months after the conclusion of the Energy summit.

  1. What are your data subject rights?

You have the following rights regarding your personal data:

  • Right to be informed: Individuals have the right to be informed of how and why their data is being collected and processed.
  • Right to access: Individuals have the right to access the data collected and processed about them.
  • Right to object: Individuals have the right to object to the processing of their personal data if it could have adverse impacts.
  • Right to rectification: Individuals have the right to have their personal data rectified to ensure its accuracy.
  • Right to not be subject to automated decision making: Individuals have the right to instruct that decisions made about them should not be based solely on automated processing.
  • Right to compensation: Individuals have the right to compensation if their personal data is used for marketing purposes.
  • Right to erasure: Individuals have the right to have their personal data erased.
  • Right to restrict processing: Individuals have the right to restrict the processing of their personal data.
  • Right to legal remedies: Individuals have the right to legal remedies.

If you wish to exercise any of your data subject rights, please contact us at  cybersecurity@afdb.org or ictsecurity@nishati.go.tz. We have three days to respond to you.

Data transfer will only occur between the registration and accreditation systems, ensuring data integrity and security.

  1. Data sharing with third parties

No personal data will be shared with third parties.

  1. IP Address and Cookies

We will not use your IP address to identify you and your personal information in any way.
